Physical Inventory Counts Physical Inventory Counts

I'm ready for my physical count -- what do I do and in what order do I do it? Can I print Count Tags or should I print a worksheet, or both?  When can daily processes continue as usual?

The physical count process is unique for each business but generally follows the same basic procedure. The Down To Earth options and methods are covered here to help you establish the physical count options that best work for you.

 

Inventory  
 
To perform an accurate and efficient physical count, follow the menu selections as listed in the Physical menu column of the Inventory application. The same procedure is suggested whether you're doing a full count or only a cycle count, however Cycle Count values are only offered within the Worksheet. 
  • If it is possible that a physical count is in process or has not completed, verify if any Tag numbers are assigned via "Enter counts" menu selection.  As a precaution, you can also optionally "Clear Count Tags" to be sure.
  • Choose either to print count tags or  a worksheet, then (capture or) "Freeze current quantities." The only time Sales or Purchase Order processing (posting) should be held up is during the time it takes to

1. print the tags/worksheet
2. capture quantities and,
3. count the items

Posting transactions is expected during the entry  of the counted quantities but not during the actual warehouse count process. Because the quantities were captured/frozen, adjustments are done accordingly when the count is posted.

NOTE: Data entry can continue but posting Purchase or Customer orders or Inventory transactions during the physical item counting can cause incorrect quantity on hand values.


 Special Notations for scanning your count

Verifying Serial/Lot numbers is only available if you are using a scanner for your count.  Manual counts do not allow serial/lot numbers to be entered.

Before you freeze current quantities, be sure the DTE Control PHYSSCANNER specifies if you are processing with a scanner or manually entering the counts. Scanner input does not require tag numbers and functions differently in regard to freezing and updating serial/lot number values. Manual count entry only freezes the specific starting and ending tag numbers and does not include serial/lot numbers. 

If the PHYSSCANNER Control is defined to use a scanner, only the Location  and Include serial/lot nos fields are enabled for entry. With the Control defined not to use a scanner, only the Starting  and Ending tag  number fields are enabled.

Freezing all locations using a scanner for input only freezes items where the Count posted item master field has a value of T:Tag printed. Be sure that you have assigned tag numbers to your items before freezing all locations at one time.
