 Purging DTE data files

Purge Data files

Purging data can be a scary endeavor but Down To Earth makes it easy to be confident. Most any DTE history purge offers the option to save deleted records. Choosing Yes  is strongly suggested. That allows the data records to be easily archived, not deleted, should you ever need to restore the purged data. 

Below are more suggestions to organize your system for easy access to reports and data, while keeping your data files smaller and more efficient. 

Step 1:  Make a new storage folder/directory on your system, something like …\dtev70\archive.

Step 2:  Create a report of the data that will be purged. You can print the report to hardcopy but you might also consider creating it as a Report file by choosing “File” from the Print Option menu. If you create a report file, be sure to save/copy it to the new storage directory for easy reference later.

Step 3:  Go ahead and purge the data and create an archive file. When the purge is complete, be sure to copy the archive file into the new storage directory, too. The archive file names differ based on the file being purged but will always have a filename extension of “.pur  ” and found in the WRK directory.

Within this beautiful resort is a little bit of Down To Earth, too.  Golden Strand Resort was first introduced to DTE in 1997 when Accounts Payable and General Ledger were bundled with their Resort/Timeshare software.  Since that time, their Down To Earth version has been updated and the platform moved from UNIX to Windows.  Many of the enhancements in the current DTE v7 were just what the accounting department was looking for, plus one custom change.  Because of the unique location, they often have foreign ownership of their timeshares.   So in 2008, they decided to add a new 1099 format, 1042-S (Foreign person’s US Source Income) to make their year end accounting more efficient.

Two DTE applications have added new features that may be helpful to your v7.0 Down To Earth processing... 

§   I nventorya new Miscellaneous menu selection is available to update item master costs from third party software.  Either Last, Average, or Standard costs can be manipulated within Excel, saved as a Formatted text (space delimited) format with a .prn file extension, and loaded into Down To Earth. 

§   P ayroll Deduction codes now have the option to use Division and/or Department codes for the General Ledger distribution. This update does require special timing as the deduction code file is converted to a new size. But for some, having all the deduction expenses funnel into a single account (without a division or department) is best.
